Update the weekly timetable

The weekly timetable shows a typical week of classes. When the times change (new season, class added or removed), you update it in two stages: first the events calendar, then the timetable setting.

Understanding the week of reference

The weekly timetable only shows the activities that come back every week: meditation classes, regular practices… These are the activities placed under the parent activity used for the weekly classes. It does not deal with talks, retreats or other one-off events.

To know what to show, the timetable copies one week of the calendar: this is the week of reference. So you need to choose one that looks like an ordinary week:

  • all the weekly activities are in it;
  • no session is cancelled or moved in it;
  • the times are the ones you want to show, not exceptional times.

In practice:

  • At the start of the season, take the Monday of the first week in which the timetable is in place.
  • If the times change during the year, do not redo the timetable: simply choose another week of reference, the first one in which the new times apply.

An incomplete week (holidays, cancelled class) gives an incomplete timetable.

Understanding the three time bands

A timetable with a single grid would run from morning to evening. In the middle of the day, when the centre is empty, it would leave a large blank area between the last morning activity and the first evening one.

To avoid this gap, the timetable is split into at most three bands: morning, midday and evening. Each band is a small grid with its own start (from) and end (to) times, placed one below the other.

Set each band as tightly as possible. It should start at the time of the first activity in that part of the day and end at the time of the last one. The tighter the times, the less blank space in the table.

Example: morning from 8 am to 10 am, midday from 12 pm to 2 pm, evening from 6 pm to 9 pm. There is nothing from 10 am to 12 pm or from 2 pm to 6 pm, and the table shows none of it.

The bands are read in order, from top to bottom: the first one must contain the first activities of the day.

If you only have two bands of activities, fill in the first two and, for the last one, put the same time at the start and the end (for example from 9 pm to 9 pm): that band then has no height and is not visible.

Steps

  1. Update the calendar. Change, add or delete the events concerned, as usual (see Events). The timetable takes the sessions from the calendar: it is not entered separately.
  2. Open Settings > Weekly timetable.
  3. In Week of reference, choose the Monday of a normal week: a week that contains all the centre's usual activities, at the times you want (see the box above).
  4. Check the three time bands (from … to …), in the order morning, midday, evening, keeping them as close as possible to the activities (see the box above).
  5. If needed, adjust the Hidden days, the Title, the Text and the Asterisks.
  6. Click Update.

Add a second table for another venue

In the Timetable for other venues section, turn on the activate switch, then fill in its title, text, hidden days and time bands, as for the main table.

This second table sums up the activities whose parent venue is Other venues calendar.

Check the result

Open the page of the site that shows the timetable: each day shows the right classes, at the right times, with the asterisks at the bottom. Reload with Ctrl + F5 if the old version is still displayed.

If it does not work

  • The table is empty or incomplete: the week of reference is badly chosen (not a Monday, or a week that is not a normal week), or the time bands do not cover the classes.
  • A class is missing: it is not published, or has no session that week.
  • There is one column too many: add that day to Hidden days.

Going further
